What is Novellia, and how does it help me?

Novellia is a free personal health record tool that puts you at the center of your care. It’s one secure place to bring together the information you need to understand, manage, and advocate for your health. Instead of juggling multiple patient portals from different doctors, labs, and hospitals, Novellia lets you consolidate your medical records across providers to see your complete* medical history on a single platform. You can also upload paper or offline records, fix outdated information, and add details yourself. Beyond storing your medical records in one place, Novellia helps you stay organized - tracking symptoms, managing medications, preparing for appointments and more – so you always have the full picture of your health journey. With Novellia, you’re equipped to take control of your health journey with confidence.

Is Novellia really free? Why?

Yes: Novellia is completely free for patients, now and always. There are no paywalls, hidden features, subscriptions, or ads, and we’ll never ask for your credit card. We believe health record tools should be accessible, easy to use, and free of barriers. Our work in treatment development and research makes it possible to offer Novellia at no cost, so patients can benefit directly. Our business is funded through partnerships in healthcare research with biopharmaceutical companies, which only use de-identified and aggregated data that cannot be traced back to you.

Is Novellia only for cancer or other specific conditions?

No. Novellia is for anyone who wants to consolidate their medical records across providers and health systems, track their everyday symptoms, and create a holistic view of their health history.

What kinds of conditions or symptoms can I track?

You can track any condition, symptom, or side effect that matters to you. Novellia also lets you connect to your providers’ patient portals so diagnosed conditions are added automatically. For symptoms and side effects, you can log when they happen and how severe they are, helping you notice patterns and share a more complete* picture with your care team.

How do I add or update my medical records?

You can connect to health systems to pull in records created by providers, upload paper records and documents, and add or update records yourself, keeping your health record complete and up to date.

Which providers or hospitals does Novellia connect with?

Novellia connects with virtually every major health system, clinic, and labs in the US.

Can I add older or paper records?

Yes, you can upload pictures of paper records and any other documents to your Novellia account. We can even help you transcribe and digitize records so that they are added to your medical records in Novellia.

How do I prepare for a doctor’s visit using Novellia?

​​Novellia helps you feel prepared and confident going into your appointment. Use Novellia’s appointment guides to reflect, prepare questions, and create a shareable summary. Keep your records and notes updated so you have everything ready for your visit.

Accessibility

Can I use Novellia on my phone or tablet?

Yes, Novellia is available on the web: simply log into your Novellia account on a web browser on your phone or tablet to access your records anywhere.

Do I need to install an app to use Novellia?

No, you do not need to install an app to use Novellia. You can use Novellia on any web browser by visiting our website and clicking on the Login button to sign in.

Is there a mobile app?

Our team is currently working on the mobile app, which will be live and available to download from the Apple App Store and Android Play store later this year.

Can I share my records with my doctor or caregiver?

We are in the process of implementing the ability for you to export a copy of your records and email them to a provider, caregiver, or even yourself. We plan to continue improving this feature to give you more control and flexibility with sharing your records with others.

Can I print or download my records from Novellia?

We are in the process of building our “Share” feature, which will allow you to export a copy of your records and email them to yourself to download or print out. In the meantime, you can download any document record to print or have on your device.

What happens if I can’t access my patient portal?

Right now, logging into your patient portals is required for Novellia to pull your records into your Novellia account. If you can’t access a portal—for example, if you’ve forgotten your login details or can’t find it—you’ll need to contact your provider for help resetting your credentials or getting access to your records. Once you’re back in, you can connect your portal to Novellia so your records all live in one place.

What if my provider doesn’t have a patient portal?

If your provider or health system doesn’t have an online patient portal, you can request a copy of your records directly from the provider and upload them to your Novellia account. By law, health care providers subject to HIPAA are required to give you access to your health information when you ask. Our support team can help you import your records no matter the format—paper, CD, fax, or digital—so you can have your complete* history in Novellia.

Is Novellia available in multiple languages?

Novellia is only available in English today.

Can I use Novellia outside of the U.S.?

No. We currently only connect to U.S. healthcare providers which is why the tool is only available in the U.S. today. If you already have an account, you can log in and access your records from anywhere, including outside of the U.S.

Do I need insurance to use Novellia?

No. You do not need insurance to use Novellia.

Privacy

Do you sell my personal health data?

No. We will never sell your personal health data to anyone, period.

Your medical records, identity, or financial information will not be shared with advertisers, marketers, data brokers, or pharmaceutical companies for profit. You can read the details of our Privacy Policy and Terms of Service on our website. Here is what they mean for you in plain language:

  • Privacy protections apply

The personal health data stored in your Novellia account is protected under federal and state health data privacy laws. That means we generally cannot disclose your personal health data without your consent, except in very narrow circumstances required by law (such as when required by a court order).

  • Business changes do not change your rights

Even if Novellia is acquired or merges with another company, you will always keep the right to close your account and delete your personal data if you do not want to continue. No one can force you to stay, and your personal health data will not automatically be handed over without your choice.

  • No selling, no ads, no hidden tricks

We do not sell your personal health data, and we do not make money from advertising or data brokers. Our business is funded through partnerships in healthcare research, which only use de-identified and aggregated data that cannot be traced back to you.

  • Your financial info stays private

You will never be asked for payment to use Novellia, and we do not sell or share your financial information. Any financial information referenced in Novellia’s Privacy Policy simply refers to what might already appear in your official medical records (such as insurance billing data), not your bank account.

  • Opting out is always an option

You can delete your entire Novellia account at any time. If you do, all of your records are removed from our systems, and none of your data will be included in research going forward.

  • Security infrastructure

We follow strict data protection practices aligned with HIPAA, including encrypted cloud storage and routine security testing, to ensure your personal health data remains protected.

What is “de-identified” data? What is “aggregate” data?

De-identified data is health information that no longer identifies you as a person. To ensure that your personal health data is appropriately de-identified, we follow the de-identified standard promulgated by the U.S. Department of Health and Human Services (HHS) under the HIPAA Privacy Rule. To meet these standards, we remove certain details from your personal health data, like your name, address, phone number, email, or anything else that could be used to identify you. We also make sure there’s no other way for someone to reasonably figure out who you are from the remaining information.

Aggregate data is when we take many people’s de-identified data and group it together. Instead of looking at one person’s record, we combine it to show overall patterns; for example, “30% of patients improved after treatment.” Aggregate data helps us see big trends instead of focusing on any single individual.

Who can see my personal health data?

Only you can see your personal health data. We don’t share it with anyone. If you want someone else, like a doctor or family member, to see it, you have the power to share it yourself.

What kind of personal health data do researchers see?

Researchers never see your personal information such as your name, address, email, or anything else that could directly identify you. The only data they can access is de-identified and aggregated. For example, researchers might see “30% of patients reported fewer side effects on this treatment,” but they would never see “Ellie Klein took 250mg of ibuprofen and had these side effects.”

Does Novellia share data with the government?

No. Novellia does not have any pledges, contracts, partnerships or data sharing agreements with local, state or federal agencies to share personal health data.

How does sharing my de-identified data help other patients?

When you join Novellia and choose to be part of research by agreeing to have your de-identified health data shared, you are doing something bigger than yourself: you are helping future patients get better, safer care. Your experience becomes part of a greater story, one where the struggles you have faced can make the path easier for someone who comes after you.

Here are a few ways in which the data patients have shared with Novellia has already contributed to ground-breaking research:

In breast cancer, some treatments can cause lung problems called interstitial lung disease (ILD). By analyzing de-identified patient records, Novellia helped uncover potential early warnings so patients can have a better chance to be treated safely and avoid serious complications.

In lung cancer, biomarker testing is critical to make sure patients get the right targeted therapy. Novellia’s research showed that many patients were starting treatment before tests were completed. That insight now has the opportunity to drive changes to help doctors test more quickly, so patients get matched with the best treatments sooner.

In breast cancer, guidelines exist for how patients should be treated, but not everyone gets the same level of care. Novellia’s work with leading cancer centers is helping uncover where treatment falls short and could provide doctors with clear steps to make care more consistent across hospitals and communities.

When you share, you are not just contributing data. You are giving a gift to the next patient: someone sitting in a waiting room, scared and uncertain, just like you once were. Your story helps build knowledge that doctors use to save lives, ease suffering, and bring hope to families.

Can I control what de-identified data is shared for research?

Since research is done only with de-identified data, once your data are de-identified, we no longer know which pieces came from you or are associated with you, which helps protect your identity. Because of this, users can’t choose specific parts of their health data to share or not to share. What you can control is whether your data is included at all. You always have the right to ask us to delete your Novellia account and all records maintained in it. If you choose deletion, none of your information will be used in research going forward.

How do I update my data sharing preferences?

What happens to my personal health data if I request to delete my Novellia account?

If you request to delete your Novellia account, our team begins the process of removing all of your information and records from Novellia’s database. Because of this, deleted accounts cannot be reactivated. If you decide to return after deletion, you would need to create a new account and start the setup process from the beginning.

What happens to my personal data if Novellia is sold or ceases to exist?

Your personal health data always remains under your control. If Novellia is ever sold or merges with another company, you will still be able to close your account and delete your personal health data if you do not want your data to be shared with the new owner. If Novellia were to shut down, we would give you advance notice so you could decide whether to download or delete your information before the service ends. In rare cases where the law requires certain records to be kept for a short time, we will be transparent about it, but your data will never be sold or shared.

How do you ensure my personal health data is secure?

We take protecting your personal health data very seriously:

We follow the HIPAA Privacy and Security rules in implementing safeguards to protect your personal health data (the same privacy laws that protect your health information at your doctor's office).

  • Limited Access

Only you can access and see your personal health data on your Novellia account.

  • Passwordless identity verification

Instead of passwords that can be stolen, we send a simple code to your email when you want to log in.

  • Safe Storage

Your personal health data is stored in a secure cloud environment, protected with enterprise-grade security measures used to safeguard millions of users’ data every day.

  • Regular Safety Checks

We regularly test our security systems to make sure they're working properly and have a plan ready if anything goes wrong.

  • Automatic Backups

We safely back up your information so it won't be lost, using the same security measures as your main data.

  • Your Data, Your Choice

You can delete all your information anytime by requesting it through the app. When you delete it, it's gone.

Think of it like a bank vault for your personal health data: multiple locks, limited access, and constant monitoring to keep everything safe.

Troubleshooting

I can’t find my provider in the connection search. What should I do?

When searching for your provider, make sure you’re searching under the correct health organization name: the hospital, clinic, doctor’s practice, or department where you received care. If you’re unsure, ask your provider directly what their health system name is. If your health system isn’t in our search, you can submit a request using the connection request form. We’re always adding more health systems to the search, and your requests help us prioritize new connections.

Why did my connection expire? What does that mean?

When you grant Novellia access to pull your medical records, you choose how long that access lasts. Once that time expires, Novellia can no longer pull new records from that connection, but all previously synced records remain in your account. To continue receiving the latest updates, you’ll need to reconnect and grant access again.

My records aren’t syncing correctly. How do I fix it?

Go to your Connections page to see the status of each of your connections. If you see an error or are experiencing an issue, contact Support to receive personal guidance and investigation from our team. It helps us if you include details and screenshots about the issue as well!

I’m seeing incorrect or incomplete data. How can I update it?

The records you see in your Novellia account after adding connections are an exact reflection of your medical records pulled directly from your connected health system, which can sometimes be out of date or messy.

  • Update

For records that are out of date, you can update them by clicking on the “...” button on the record and selecting “Edit” to make changes.

  • Hide

For records that are duplicate or just wrong, you can hide them by clicking on the “...” button on the record and selecting “Hide” to remove it from your view. These records will still be part of your EMR, and will be stored in the Hidden Records section of your Settings page in case you need to retrieve them.

  • Add

For records that are missing, you can add them yourself by clicking on the “Add” button and selecting “Individual record”. You can also upload documents or images and have them digitized into new records.

  • Something else

For any scenarios that feel like a bigger issue causing incorrect records to be in your account, please contact support so that we can look into bugs or technical anomalies that may be affecting your account.

How do I delete my account or records?

You always have the right to delete your Novellia account and all your records stored and maintained within your account. To do so, submit an account deletion request through the Support dropdown in the top navigation, and our support team will guide you through the next steps. For your security, deleting your account removes all of your medical records from Novellia’s database. Because of this, deleted accounts cannot be reactivated. If you decide to return after deletion, you would need to create a new account and start the setup process from the beginning.

*“Complete” may include, but not exhaustively, all of the available health records accessible through the authorization you provide Novellia.
